Overage Entry Instructions

Creating an Account

The first thing you must do, before entering any overage information is create an account. To do this, you will need to enter a username and password, along with some personal information like your name and salary.

Your username and password may be whatever you like, but making the username some combination of your first and last name tends to work well. (For exmaple, John Smith may have a username of 'jsmith' or 'john_smith'). You should make sure to record your username and password as you will need to enter them each time you want to enter the site.

You will also need to select if you follow the same class schedule every day, or teach a rotating schedule using A, B, C, D, E and F days.

Finally, any of the information you enter here may be changed, and if any does change, you should update your account as soon as possible.

Classes

Once you have logged in, you will be taken to the class entry form. Here, you should enter all the classes you teach each semester, even if you are not planning on entering an actual overage for that class. To enter a class, you will need to provide the following information:

If you need additional lines, click the 'Add Class' button to create an additonal row. Once you have entered all your classes for the year, click the 'Save Classes' button.

Schedule

The next step is to set up your schedule, based on the classes you entered. In this form, you are assigning the classes to your daily schedule, and allocating any minutes you spend on instruction, prep time and lunch.

What you see in this form depends on what previous choices you made when setting you your account and entering classes.

If you indicated you have a rotating class schedule, you will need to enter in a schedule for each day (A, B, C, etc.) while if you have a fixed schedule, you only need to enter classes once.

If you teach any class that relies on minutes as part of the overag calculation, then you will need to enter your total instructional time, the minutes for the specific class, as well as your prep time and lunch time

If you need additional lines, click the 'Add Schedule Event' button to create an additonal row. Once you have added all your classes to your schedule for the year, click the 'Save Schedule' button.

Overage Form

The final step is to enter the overage amounts themselves.

For each class you enter, two overages will be created, one for each quarter. Clicking on the overage for the quarter you wish to enter will bring up the overage form. Here, you will need to enter the enrollment figures for each day.

If you indicated you have a rotating schedule, you will need to select the Day Letter for each day before entering the overage amount.

Once you have entered all the overage amounts for the quarter, click the 'Submit Overage' button. Clicking the'Print Version' link will open a version of the form formatted for printing, although the overage amounts will not show up until after you have submitted the form.
